At The Physio Den, appointments are reserved specifically for you. As a small independent clinic, late cancellations and missed appointments can make it difficult to offer that appointment to another client.

We therefore operate a 24-hour cancellation policy.

Cancelling or rearranging an appointment

If you need to cancel or rearrange your appointment, please provide at least 24 hours' notice.

More than 24 hours' notice

If you provide at least 24 hours' notice, there will normally be no cancellation charge, and we will be happy to rearrange your appointment where appropriate.

Less than 24 hours' notice

If you cancel or rearrange an appointment with less than 24 hours' notice, the Practice may charge up to the full appointment fee.

Missed appointments

If you do not attend your appointment and do not provide notice, the full appointment fee may be charged.

Unexpected circumstances

We understand that unexpected situations happen. If you have to cancel at short notice because of sudden illness, an emergency or another genuine unforeseen circumstance, please let us know as soon as possible.

We will consider the circumstances and may waive or reduce the cancellation charge at our discretion.

If you are unwell

Please do not attend your appointment if you are acutely unwell and attending could put you, your practitioner or other clients at risk.

If you become unwell before your appointment, please contact us as soon as possible. We will consider the circumstances and help you rearrange your appointment where possible.

Repeated late cancellations or missed appointments

Where there is a repeated pattern of late cancellations or missed appointments, we may require advance payment for future appointments or, where appropriate, decline future bookings.

Any such decision will be considered on an individual and proportionate basis.

If The Physio Den cancels your appointment

If we need to cancel an appointment, you will not be charged for the cancelled appointment.

Where you have already paid in advance, we will offer an alternative appointment or arrange an appropriate refund.

Your consumer rights

This cancellation policy is intended to help us manage appointments fairly and sustainably. It does not affect any statutory rights you may have as a consumer.
